Voicemail

You can choose various actions when you reach our voicemail system, whether you are accessing your own mailbox or bypassing the greeting on someone else's mailbox. For best results, follow all voicemail instructions exactly.

If You Reach Voicemail

If you reach any voicemail recording, you can choose to:

  • Leave a voicemail message.
  • Bypass listening to the greeting of an individual to leave your message more quickly:
    1. Press * (star)
    2. You will hear Recording
    3. Leave your message
    4. Hang up
  • Dial the next desired extension at any point, without hanging up or redialing.

Entering your Mailbox

When you are on campus: Dial 2222.

From off-campus phones: Dial 617.868.9600.

When you hear the Lesley recording begin, follow the prompts, which will be:

  1. "To enter your mail box, press pound (#). To send a quick message, press star (*)."
  2. "Enter your mailbox number."(your four-digit extension)
  3. "Enter your security code."
  4. You know you are in your mailbox when it says "Greeting is on."(if you have made one) "You have __ messages. Ready."

By saying "Ready" your mailbox means it is ready to do any of the functions outlined in this voicemail guide. The headings below explain each function and how to use them.

Listening To Voicemail Messages

Enter your mailbox.

When it says "Ready,"

  • To listen to each message from first message, choose: 5
  • To listen to most recent message, choose: 15

While listening to each message, you can press:

18 Adjust voicemail volume: pressing 18 will cycle you through incremental voicemail volume levels
2 Back up 4 seconds
3 Erase the message (the system automatically erases messages you've listened to, unless you save, forward or reply to them before you exit your mailbox)
13 Forward the message to another mailbox (follow prompts)
4 Go ahead 4 seconds
0 Help during any of the preceding steps
14 Immediately call the campus telephone extension from which the message was sent (follow prompts; you are automatically exited from your mailbox)
15 Listen to the previous message
* Pause/resume. (Can pause for up to about 2 minutes)
17 Record and send a reply to the message (follow prompts)
22 Repeat message from the beginning
7 Save the message
8 Time and date message left

Voicemail Greeting, Personalizing

  1. Enter your mailbox.
  2. When it says "Ready", press 4.
  3. Choose from the prompts, which will be:
    2 Turn greeting off (or 1 to turn greeting on, if already off).
    5 Listen to current greeting.
    6 Record a new greeting.
    # Leave greeting unchanged.
    0 Help at any point.

Recording and Sending a Voicemail Message Through Your Voicemail Box

This method provides more flexible delivery and addressing options than "Quick" messaging.

  1. Enter your mailbox.
  2. When it says "Ready," press 6,
  3. Record your message as prompted.
    While recording you can choose:
    22 Back up to beginning of your recording.
    2 Review last few seconds.
    * Pause/resume recording.
    ** Erase the recording totally.
    # End recording.
  4. You will hear: "Enter address. To erase this message, press star (*) twice". You can:
    • Dial the mailbox number or
    • Press ** to erase the message
  5. Then you will hear: "Enter another address. For addressing options, press pound (#.) To cancel previous address, press star (*) once. To erase this message, press star (*) twice".

    At this point you can choose to:
    • Enter an additional address. You can enter up to ten in all. (Or, for more than ten, if you have created one, you can enter your "Personal Distribution List" code - see Voicemail Custom Options).
    • Press # for addressing options. Select from:
      # Send the message.
      1 Return receipt (follow prompts).
      5 Future delivery (follow prompts).
      ** Erase the message.
    • Press * to cancel previous address.
    • Press * * to erase the message.

Voicemail Custom Options

Our voicemail system offers additional features. For help with any of the following, please:

Enter your mailbox. When it says "Ready", press 16 . Choosing any of the following options will provide you with a menu for that option, telling you how to proceed:

  • 1 Message waiting notification (although listed, this feature is unavailable on our system)
  • 2 Security Code For more about this option, see our information below.
  • 4 Autocopy mailbox number (messages copied to another mailbox, and automatically erased from the original mailbox)
  • 5 Personal assistance number (when your extension is busy or not answering, your calls forwarded to another extension for live assistance).
  • 6 Personal Distribution list You can send a voicemail to more than ten mailboxes at once using this feature. The list of mailboxes is saved for unlimited reuse.

    The system's prompts guide the user through creating a Personal Distribution List; prompts include:
    1. 1) Assigning a spoken name for the list (department or person), which message recipients hear preceding your message.
    2. 2) Assigning a two digit code to the list, used as the address.

    After you have created your personal distribution list, to use it, see Recording and Sending a Voicemail Message Through Your Voicemail Box. Use the two digit code you assigned to the list as the "address" for your message.

  • 7 Listen to Future Delivery messages (review messages you've recorded for future delivery).

Exiting your Voicemail Box

When you are finished doing any of the functions outlined in this guide, and are ready to exit your mailbox, don't just hang up. To exit:

  • Press #, and when you hear the word "Ready", press 9, and, when prompted,
  • Press 9 again.

Note: Listen to the prompts as you exit for other features and information, such as how many messages will be erased, or how to dial another extension, or how to re-enter the voicemail system.

"Quick" Voicemail Message

To quickly record and send a message through your mailbox directly into another mailbox without ringing the recipient, dial 2222.

You will hear "To enter your mailbox, press pound (#). To send a quick message, press star (*)".
Press * and follow the prompts.

Voicemail Security Code, Personalizing

To prevent unauthorized access, please select your own unique security code, and change it regularly.

  1. Enter your mailbox.
  2. When it says "Ready", press 16.
  3. It will list options - select 2.
  4. Follow the prompts (code can be between 4 and 10 digits).

Making Your Voicemail Non-Messaging for Extended Absence

If you are going on sabbatical, medical or maternity leave, or otherwise not checking your voicemail for a month or more, you can make your voice mailbox non-messaging with an extended absence voicemail greeting. This allows you to record an outgoing message directing callers to another on-campus number, and your voicemail will not record any incoming messages until you instruct us to change it back.

The benefits of making your voicemail non-messaging include:

  • Saves you from having to listen to community messages concerning events that have already past
  • Provides better customer service to your callers who will otherwise be waiting for your response to their messages, or worse, will be frustrated by not being able to leave a message because your mailbox is full
  • Saves valuable disk space on our voicemail system

Instructions for Extended Absence Greeting: 

1.  Log into your mailbox by dialing ext. 2222.

2.  Enter your ext. and password.

3.  Press 4, 7 & record out going greeting.

Once completed callers will be greeted with your greeting and your mailbox will not allow callers to leave a message
