Colleague Training

Administrative Applications, along with staff from other University departments, offer a variety of general training classes, providing both introductory and advanced information about the Colleague administrative database. The Basic Training navigation and inquiry class is a prerequisite for account use and for all other training classes.

 

Basic Navigation & Inquiry

Before a username and password are issued, individuals requesting access to the Colleague database must complete a mandatory training class, which includes an orientation to FERPA (the federal Family Educational Rights and Privacy Act.) Work-study and Lesley Work employees are the only employees who are not required to attend this introductory class. The Basic Training class is offered by the Office of the University Registrar. Department-Specific Functions

Task-specific training is provided within individual departments, typically on an as-needed basis. Regularly-scheduled classes include the following:

Financials (Budget) Inquiry Training

This class is an introduction to the Colleague Financials (CF) module. Staff & faculty will learn about the CF module and how to access financial information for their department. This includes budgets, expenses, purchase orders, and deposits. Please contact Karen Baytch in the Finance Office by email at kbaytch@lesley.edu if you would like to attend a Colleague Financials training. Once enough people have signed up she will contact you with a training date, time, and location.

Prerequisites:

  • completion of the Colleague Basic Training class
  • approval for Budget Information access

To request approval for budget information access, please submit a Colleague Database Account Request form [pdf] indicating the account number(s) for which access is requested.

Who should attend?

  • staff with approval for budget information access
  • core faculty with approval for budget information access

Course Section Creation

This class provides information about creating course sections from existing course records. Topics include section numbers, prerequisites, and faculty assignments. Please contact the Colleague Basic Training group by email at basic@lesley.edu if you would like to attend a Course Section Creation class.

Accessing Colleague Data

There are two classes offered by Administrative Applications staff that cover accessing Colleague data. Please contact Administrative Applications by email at adminapps@lesley.edu to request information about upcoming classes.

Options for Accessing Colleague Data

This 3-hour session covers report planning, characteristics of data, and options for accessing summary data as well as data files.

Prerequisites

  • completion of the Colleague Basic Training class
  • understanding of department's/office's reporting needs

Who should attend?

  • staff who are responsible for reporting office/department information

Uniquery/Query Builder

This three-day class is designed for staff who select database records for the purposes of communications, reporting, and/or research. Topics include database terminology and structure, query syntax, summary reporting, and data extraction. Please contact Administrative Applications by email at adminapps@lesley.edu to request information about upcoming Uniquery/Query Builder classes.

Prerequisites

  • solid familiarity with Colleague screen navigation
  • completion of the Options for Accessing Colleague Data class
  • knowledge of where (which screens) and how (which codes) data is recorded within the department or office
  • understanding of the office or department's current data, reporting, and research needs

Who should attend?

  • staff who are responsible for completing ad hoc data extracts and reports or who are responsible for monitoring compliance of data to established standards
